Privacy Policy

This policy explains how Tules Studio handles personal data for the Tules Studio website, Turbo services, and Turbo Mobile Companion app. It is written to reflect the current data safety declaration for the mobile app.

Who We Are

Tules Studio builds websites, SEO systems, billing workflows, and practice management software for medical professionals. For privacy questions, contact ralph@tules.co.uk.

Data We Collect

We collect personal data that you, your practice, or an authorised user provides, plus technical data created when the website or apps are used. The declared mobile app categories are:

  • Name, email address, user IDs, and sign-in details used to authenticate users and manage practice access.
  • Emails and email content used to prepare and send invoices, clinic notes, and related practice communications.
  • Voice or sound recordings only where a feature or workflow asks you to provide audio content.
  • Files, documents, generated PDFs, invoices, clinic notes, and other content users create in the service.
  • App interactions, diagnostics, and crash information used for reliability, security, and product improvement where available.

Turbo is designed for practice administration. Depending on how your organisation uses it, records may include care home details, patient names and contact details, invoice line items, clinic note entries, service descriptions, patient status notes, company bank details used on invoices, account settings, and generated documents.

We only use sensitive device capabilities where they are needed for a feature you choose to use. Documents can be prepared for export or sharing at your direction, and any sharing outside Turbo depends on the app or service you select.

Website And Booking Data

The public Tules Studio website is mainly informational. If you email us or book a call through the scheduling link, we receive the contact details and message content you choose to provide. The relevant scheduling and communication providers process that information under their own privacy terms.

Accounts And Authentication

Turbo Mobile Companion does not let users create an account inside the mobile app. Users sign in with credentials created outside the app for their practice or organisation. The mobile app stores the information needed to keep authorised users signed in and connected to the correct practice environment.

The Turbo web service uses secure account authentication. Access to practice data is limited to authorised users.

How We Use Data

We use personal data to:

  • provide, secure, and maintain the website, web service, and mobile app;
  • authenticate users and manage practice access;
  • create, preview, export, share, and send invoices, PDFs, and clinic notes;
  • respond to enquiries, bookings, support requests, and service communications;
  • review app interactions, diagnostics, and error information where available so we can improve reliability and features;
  • meet legal, accounting, security, and contractual obligations.

Sharing And Processors

We do not sell personal data. We share data only where needed to run the service, provide requested functionality, comply with law, or protect users and the service. This can include:

  • Email delivery providers when the service sends invoices, clinic notes, or support emails.
  • Hosting, storage, maintenance, and security providers that help us operate the website and apps.
  • Approved service providers that connect authorised users to the correct practice environment.
  • Scheduling and communication providers when you choose to book a call or contact us.
  • User-selected apps and services when a user exports or shares a document.
  • Professional advisers, regulators, or authorities where required by law or to protect rights, users, and the service.

The mobile app data safety declaration marks email addresses, emails, and voice or sound recordings as shared for app functionality, and in some cases analytics, because these data types may pass through service providers that help deliver those features. Turbo does not sell personal data.

Security

Personal data collected by the apps is encrypted in transit. We use access controls, secure account systems, device-level protections where available, and provider security controls to protect personal data. No internet service can be guaranteed to be completely secure, so users should only enter information they are authorised to process in the service.

Retention And Deletion

We keep personal data for as long as needed to provide the service, support your practice, comply with legal and accounting obligations, resolve disputes, maintain security, and honour customer contracts.

Turbo Mobile Companion currently provides sign out, while account deletion is handled through the web service or by request. If you have access to the Turbo web service, you can use the delete account flow to delete your user account and linked company profile. Operational records such as patients, care homes, invoices, clinic notes, sent emails, generated documents, and audit or security records may remain where they are needed for the practice, customer contract, legal compliance, accounting, or safety reasons.

You can also request deletion or correction by emailing ralph@tules.co.uk.

Your Rights

Depending on where you live and how your organisation uses the service, you may have privacy rights including the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct data that is inaccurate or incomplete.
  • Ask us to delete your account or personal data, subject to legal, accounting, security, and contractual retention needs.
  • Object to or restrict certain processing where applicable law gives you that right.
  • Complain to the UK Information Commissioner's Office if you are unhappy with how your data is handled.

Children

The website and apps are intended for medical professionals, practices, and authorised business users. They are not directed at children and should not be used by children to create accounts or contact us.

Changes To This Policy

We may update this policy when the website, apps, suppliers, or data practices change. The latest version will be published on this page with the updated date above.
